What made the butterflies flutter?

It was an insane 48 hours, but the chaos was the much-needed adrenaline pump for the team. Just 5 days before the date of the event, when the event production wasn’t ours, we sat together discussing what we would have done differently if we were planning the event. And I’m happy to report that we were proudly patting our backs after executing the biggest event of our year so far – Mr. Rishab Shetty’s daughter’s 1st birthday.

For a team that primarily plans weddings, birthdays have been rare as parents are extremely picky when it comes to their children’s birthdays (sorry for being brutally honest here). But Mr. Rishab and Mrs. Pragathi have been the most accommodating young parents ever! We weren’t sure of what to expect when a celebrity at his peak conducted an event, but his humility warmed us immensely.

 

    

    

 

A big butterfly world for little Raadya who turned one on March 4th, 2023. The event was conducted at The Tamarind Tree, a luxury heritage event venue in the heart of south Bangalore. The venue could not have been more apt for the event considering the theme. More than 200 species of flora in 5 acres entwined with heritage structures and artifacts from all over the country. A perfect union of nature and architecture came together to form this mesmerizing property. All we had to then think about is where the butterflies would fit in.

When the planning began, we knew this had to be extravagant. The cinema industry had a high bar already set for birthday parties. But at the same time, we wanted it to be elegant and classy. Since we had a grand total of 4 days till the date of the event, we did not have the luxury of time. Our designing process for any event that takes a minimum of one week had to be cut short to 24 hours. With everyone on the team thinking, talking, and looking for butterfly inspirations, we finally made the deck worthy of being in a child’s sweet dreams. Mr. Rishab and Mrs. Pragathi were quick in their response and gave us the go-ahead for the design.

The production support that we had to gather for this event was overwhelming, to say the least. Considering the short time span, we decided to make the exact butterflies we wanted as there was no one in the market who had things that matched our vision. Our office looked like a massacred butterfly market with a little welding corner, a cutting corner, and a pasting corner – all filled with half-done butterflies.

 

 

12000 butterflies of all shapes, sizes, and makes, sat at The Tamarind Tree at 11 pm on 5th March. Right from stickers to frames, to LED and lit-up butterflies, and anything one could think of as a decor element was made into a butterfly. To support these butterflies, flowers of all kinds available in the market were going to make their way the next morning.

Wax flowers native to the Western Coast in Australia, lilies and orchids of all colors, and lush Hydrangeas were some of the highlights of the decor. The entire event came together with the support of 25 vendors, right from designing to printing and welding the butterflies to lighting up the venue and making the butterfly world come to life.

Since there was an event going on at the venue, we had to wait until the old decor was taken down and then we began our work. All hands on deck from 11 pm on the 4th till 3 pm on the 6th, everyone worked non-stop. It took a team of more than 70 boys and girls to bring the butterflies to life. A garden of flowers and ferns everywhere to create the perfect environment for the colorful butterflies. Such delicate designs that once placed could not be moved. With barely 1-2 hours of break per person taken on a rotational basis, the whole team was spent in every bone of their body, but it was totally worth it when the lights turned on and we saw our vision come to life. It was truly a surreal experience and a memory to cherish.

 

The event was a grand success, with the elitist of the cinema industry being present. A true challenge in terms of crowd management considering the VIPs, and the security needed. But the security team at The Tamarind Tree did a fantastic job with ensuring that the privacy of the family hosting and the guests were respected and they could have a good time without being disturbed.

The young parents, Mr. Rishab Shetty and Mrs. Pragthi Shetty gave the team positive feedback and were extremely happy with our work. The team even left a treasure for little Raadya to look back on the most beautifully created butterfly world.
